Deposition Room Introduction (Host Role)

This article explains how to navigate the Deposition Room as a Host Role within the virtual deposition platform.

Quick Take: The Host Role has controls that are unique to you within the virtual deposition platform and differs from other attendees.


Instructions

  1. Start by logging into the platform

  2. Once you have logged into your account, you will be directed to the Dashboard

    1. This is where you can view all depositions and demo depositions that you have scheduled or have been invited to

  3. To join the scheduled deposition, click “Join Now”

    1. PLEASE NOTE - By clicking “Join Now”, the platform will always automatically direct you to a Connection Test (Pre-Call) before entering the Deposition Room.

  4. Choosing “Join And Use Phone For Audio” will allow you to join the Deposition with your Mic Muted and your speakers Disabled. Please select this option if you are a Dial-In participant.

  5. After the Connection Test is completed, you may enter the Deposition Room

  6. A User who is not on the attendee list for an upcoming deposition can use the Request to Join Feature

    1. When a user uses a direct invite or the deposition room URL link and is not invited to the deposition, the Host and Co-Host will be notified of the request from within the deposition room

  7. All attendees have the option to use the “Blur My Background” Feature. This feature adds Background Blur to the video

    1. Click on the '3 dots' context menu located next to the 'Red Telephone' icon

      1. Click “Blur My Background”

  8. Within a deposition, attendees have the option to connect through a Dial-In feature

    1. Click on the '3 dots' context menu located next to the 'Red Telephone' icon

      1. Click ‘Use Phone For Audio’ where you will be able to view the Dial-In Number and the Pin Code


      ii. A pop-out window will appear which will provide the dial-in number and PIN as well as a QR code that can be scanned with a smartphone

    2. The Dial-in Conference call will be enabled by default. When attendees call in they will automatically be connected and will appear above the video screen.

      1. Joining Using Phone for Audio will automatically mute your mic and the speakers in the browser tab

      2. Once the call has been disconnected, the mic and speakers will automatically unmute

  9. You have the option to use the ‘Pop-out’ Feature. This will allow you to pop out an attendee's video into a separate window. Please see How-to use the Pop-out Feature for more information

  10. Once in the Deposition Room, there are different features available to you

    1. The Host Grants access to ScriptSync. This feature functions only when the deposition is being recorded

  11. The “Privacy Shade” feature allows you to keep your exhibits list private while you are utilizing the Screenshare feature. Please see How-to Screen Share within a Deposition

    1. Starting a Screen Share will automatically enable the Privacy Shade over your exhibit list.

  12. You can upload exhibits within the ‘Exhibit Panel’ by clicking the orange “Exhibit” button and uploading your files into the dropbox

  13. If enabled, you also have the ability to use the Realtime speech to text feature. For more information please see How-to use the Realtime feature for more information.

  14. All attendees can access a Sidebar Room

    1. Click on the sidebar icon next to the ‘On/Off Record’ button

    2. These are designed to have off-the-record conversations as these rooms cannot be recorded

      1. All attendees have access to enter any of the four available Sidebar Rooms of a deposition

    1. As the Host Role and Co-Host, you have a master key that allows you to unlock all of the Sidebar Rooms from the main Deposition Room as needed

  15. In the deposition room, you have the ability to modify your Camera and/or Microphone-in use.

    1. To access this, start by selecting the 3 dots next to the ‘Red Telephone’ icon

    2. This will open a drop-down menu, click on Device Settings

    3. A pop-up window will appear, giving you access to modify either your Camera or Microphone to the desired option. Click “Apply Change” to save any changes made.
